The bylaws and election rules adopted by the Board to perform full-service, including up to three (3) mailings of voting materials based upon samples from prior election and board rules to be addressed and mailed using current voting member mailing list provided by Management, ballot and voting CREATE, STUFF AND MAIL voting materials printed by Inspector of Election (@ #/3 mailings), specifically:
A. Mailing #1 TBD “Notice of Nomination Procedures and Call for Candidates”
a. Black and white Notice and Candidates List, up to 3 pages 8.5 x11
b. Black and white #10 envelopes with current USPS First Class postage rates,
B. Mailing #2 TBD “Pre-Ballot Notice Call for Meeting and List of Candidates”
a. Black and white Notice and Candidates List, up to 3 pages 8.5 x11
b. Black and white #10 envelopes with current USPS First Class postage rates,
C. Mailing #3 TBD “Notice of Election with Election Rules (website), Candidate Statements and Secret Ballot,
a. Black and white Notice with Voting Instructions, up to 8 pages 8.5 x 11
b. Black and white Candidate Statements (<250 words), double-sided 8.5 x11

c. #10 outside envelopes to IOE with .78 USPS First Class postage, #9 ballot envelopes, #10 return envelopes with or without return USPS postage,
D. “Receive & Count,” quality control and retain 1 year approximately # ballots,
E. Require copy of the Association’s election materials from previous election, the Bylaws pertaining to the election rules established by the Board, list of qualified voting members’ names, member #’s and mailing addresses a minimum of 105 days prior to annual election,
F. Receive Candidacy to Serve Applications by USPS mail or dedicated email, confirm receipt to management by deadline of Board of Director Candidate Applications, allow 10 days for possible IDR Notice (e.g. Management),
G. Pre-election quality control of incoming ballots: date-stamp “received,” confirm and compare members’ names, unit #’s and correct addresses, track “returned” ballots and confirm standing for quorum, ensure ballot is signed, track duplicate and/or late ballots informing management of same,
H. Inspector to attend election at pre-determined time and location, receive and count walk-in and/or late ballots,
I. President’s Call to Order,
J. Close of polls and announce quorum or lack thereof (meetings without quorum requirements met are to be reconvened within 5- 30 days),
K. Expeditiously begin opening ballots with Martin Yale 62001 Envelope Opener and tallying results,
L. Announce results to all in attendance,
M. Provide Official Results immediately in person, and by email,
N. Maintain election materials for minimum of 1 year and return or destroy.
